How to use Tablex
A step-by-step guide to turning scanned PDF tables into clean, standardized datasets — from uploading a document to downloading the finished file. No technical background needed.
Getting started
- 1Open the platformGo to the Tablex web address in your browser (ask your administrator for the link).
- 2Sign in with GoogleClick Get Started with Google and use your official work email. Only approved email domains and whitelisted addresses can sign in.
- 3Wait for your role (first time only)New accounts start as
pendingand see only the welcome page. An administrator assigns your role — access appears the next time you sign in. - 4Land on your workspaceOnce you have a role, you’ll see cards for exactly the tasks your role can do. That’s your home base.
Seeing an “awaiting role assignment” message? That’s normal for a brand-new account — contact your admin to be assigned a role.
Understanding roles
What you can do depends on your role. There are three working roles (plus pending for new accounts).

The big picture
A document travels through four stages. The Digitization Officer does the extracting, cleaning, and standardizing; the Verification Officer is the quality gate in the middle. A table only moves forward once it’s approved.
Standardization can only use tables a reviewer has approved. Anything still flagged or unreviewed won’t appear in the standardize step until it’s approved — so bad data can’t slip through.
Digitization Officer workflow
Extract → clean → send for review → standardize → download4.1 · Extract a PDF
- 1Open “Start Extraction”From your workspace, click the Start Extraction card.
- 2Upload your PDFChoose the scanned document you want to digitize. Upload begins automatically.
- 3Watch the progressThe platform reads the PDF page by page and pulls out every table. You’ll see live progress and a message when it’s done. If a page fails, the rest still finish.
- 4Open the resultsWhen extraction completes, open the job to see the tables. You can revisit any job from the Dashboard.
Extraction runs in the background — leave the page and come back to it from the Dashboard; your job keeps processing.
4.2 · Edit and clean the tables
- 1Review each tableOpen a table in the editor and check columns, headers, and values against the original.
- 2Make correctionsRename columns, fix cell values, delete unwanted rows or columns, and merge or split as needed.
- 3Name the table clearlyThe table’s name becomes the file name. Give it the full, meaningful title — it’s kept exactly as you type it (spaces become hyphens), not shortened.
The Smart Editor card lets you open and clean a standalone CSV without running an extraction.
4.3 · Publish tables for review
- 1Save your editsConfirm each table looks right before publishing.
- 2Publish to the review areaSend the table(s) to the “pre-processed” area. You can publish a single table or every table of a PDF into one folder at once. A “Uploaded to pre-processed” confirmation appears.
4.4 · Assign a reviewer
- 1Open “QC Assignments”Click the QC Assignments card.
- 2Create an assignmentPick the folder you just published, choose a Quality-Check reviewer, and optionally share the original PDF so they can cross-check.
- 3SubmitThe reviewer now sees the folder in their “My Assigned Tasks”. Track its status here.
4.5 · Fix flagged tables
If the reviewer flags a table, it comes back to you for correction.
- 1Open “QC Review”This card shows only the flagged tables that need attention, with the reviewer’s comment.
- 2Find the page and re-extractEnter the PDF page number where the table appears; the platform re-reads just that page. Use “View raw PDF” to find it.
- 3Pick the corrected table and saveChoose the corrected version and save it — it replaces the flagged file and is marked ready again.
- 4ResubmitSend it back to the reviewer. Only the tables you corrected are resubmitted; untouched ones stay as they were.
4.6 · Standardize approved data
- 1Open “Standardize”Click the Standardize card. The folder picker lists only QC-approved folders.
- 2Choose a folder and tablesSelect the approved folder you want to process.
- 3Pick the columns to standardizeUse Select all, then unselect any columns you don’t want normalized — you stay in control.
- 4Resolve names with AIClick Resolve with AI to map place names to their official LGD names. Each suggestion comes with a short reasoning. For tricky districts, deep resolution handles renames (e.g. Gurgaon → Gurugram).
- 5Run standardizationApply it to produce the clean, coded dataset.
- 6Upload the resultSave the output — it lands in “Standardized Files”, ready to download.
Don’t see the folder you expected? It isn’t fully approved yet — make sure every table in it has been approved by the reviewer. Flagged or unreviewed tables won’t appear here.
4.7 · Download the finished files
- 1Open “Standardized Files”Click the Standardized Files card to browse finished outputs, grouped by folder.
- 2Download in the format you needFor any file pick CSV, Excel, or JSON. To grab everything in a folder, use Download all (CSV) — a single zip of CSV files.
That file is your analysis-ready dataset — standardized, quality-checked, and traceable back to the original PDF.
Verification Officer workflow
Check each assigned table, then approve or flag itYou are the quality gate. You review the tables a Digitization Officer sends you and decide, table by table, whether each is correct.
- 1Open “My Assigned Tasks”This is your page — every folder assigned to you appears here.
- 2Open an assignmentYou’ll see every table in the folder. If the PDF was shared, use View raw PDF to compare against the original.
- 3Set a status for each tableMark each table approved if correct, or flag it (needs changes / rejected) if something’s wrong.
- 4Add a comment when flaggingA comment is required for any flagged table — tell the Digitization Officer exactly what to fix.
- 5Submit the whole set onceWhen you’ve reviewed every table, submit. Approved tables move forward automatically; flagged ones go back to the Digitization Officer.
When a Digitization Officer resubmits corrected tables, only those corrected tables come back to you — no need to re-review the whole folder.
Administrator workflow
Manage people, access, and oversight- 1Open the “Admin Panel”Your control center for users and access.
- 2Assign rolesNew sign-ups arrive as
pending. Set each person to Digitization Officer, Verification Officer, or Administrator. - 3Manage who can sign inSign-in is limited to the approved email domain. To allow someone outside it, add their email to the whitelist.
- 4Monitor activityReview processing cost and job history per user to keep an eye on usage.
- 5Remove accessDelete a user’s account when they should no longer have access.
Tips & FAQ
I can’t sign in — it says access denied.
Your email must be on an approved domain or the whitelist. Ask your administrator to whitelist your address, or confirm you’re using your official work account.
I only see a welcome page after signing in.
Your account is still pending. An administrator needs to assign you a role; access appears once they do.
A folder is missing from the Standardize step.
Only fully QC-approved folders appear there. Check that every table in it has been approved by the reviewer.
The reviewer flagged my table — what now?
Open QC Review, read the comment, re-extract the table’s page, save the correction, and resubmit (section 4.5).
Can I get my data as Excel?
Yes — on the Standardized Files page each file downloads as CSV, Excel, or JSON.
For access issues, role changes, or anything blocking you, contact your platform administrator.
